User-Experience Improvements in PICS 3.0

  • Larger fonts make it easier to read
  • PICS 3.0 is faster. It opens all tables at start-up, reducing slowdowns due to open/close of tables
  • Lists can be sorted on any column
  • Stretchable/scalable user interface
  • Selected row in lists is always highlighted – light shading when not in focus, darker shading when it is

Below are even more updates made to Produce Inventory Control System (PICS) software for the fresh produce industry during June:

  • Adjusted the AP system to get the Bank Exchange GL Account from the Banks table, instead of the exchange table like it use to. This part of the changes we have made to fully support AP Payments out of any bank you want.
  • Enhanced the AR Receipts system such that you can now specify the bank account. If you wish to use this, you need to set the Accounting/Allow A/R Bank Account Changes On Receipts system control to Y. You also need to review your bank accounts in the banks screen, and make sure the GL Accounts are correct. If the Bank Account is in a foreign currency, you will need to put in a Bank GL Exchange account. We **strongly** recommend that each bank account has its own GL Account and GL Exchange account.
  • Added a button to the GL History Report startup screen to allow the user to Check All or Uncheck All expand details check boxes. Also changed it to have Date as the default sort order (as opposed to journal #).
  • Transaction Details button on the GL Accounts screen has been rewritten to use the new list technology. The result of this brings up a list which looks very similar to the previous version, however you can now scroll to any row and press enter to go to that transaction (if you have the appropriate security). Note that the Receipts Journals can now be drilled down as well (that inquiry wasn’t available in the previous version).
  • Reworked the way A/R Sales Journals and Adjustment Journals get updated to the G/L. When the AR Voucher is created, all the G/L accounts are loaded into the Voucher itself. The Post Sales Journal and Post Adjustments Journal programs have been redesigned to get the G/L Accounts from the AR Voucher, instead of from the G/L Cross Reference records. This means that if you re-run the journals in the future, the G/L accounts which will be used are the ones which were in effect at the time of the AR Voucher’s creation. This new design avoids the problem which occurred when G/L Accounts in the G/L Cross Reference records are changed. It also solves the problem with the expand details option on the G/L History Report. We are making this change to all 5 journal types. This is the fourth and fifth of 5.
  • Changed changed the way that the GL system works. Previously, if you were missing GL Cross Reference records, and/or didn’t have the vendors set up properly to post to the GL you would be notified about it when updating the journals. Going forward, you will get errors when you create Accounting Transactions. These errors will need to be dealt with before you can create the transaction(s). The most common example of this is the case where a new product category is added, and the GL Cross reference record for the revenue is not set up. If that happens, you will get a detailed detailed error message which tells you what you need to do. We realize that this change requires a change in behavior for users. Unfortunately, we had to make this change for a number of reasons, and there was no way to avoid it or handle it in a different way. We don’t normally force these sorts of changes on our users (like most other software companies do), so we apologize in advance if this causes you frustration.
